4. How do we process your personal data?

We process your data in different ways, depending on whether you visit our website (Section 4.1), are our customer or an interested party (Section 4.2), are our supplier or business partner (Section 4.3), apply to us as potential employee (Section 4.4) or visit our office in Vienna (Section 4.5).

4.1 Data processing regarding visitors of our website

If you visit our website, we will process personal data related to your visit.

Personal data that you transfer electronically through this website, for example name, e-mail address, address and other personal data, shall only be used by us for the specified purpose, shall be stored securely and shall not be disclosed to third parties. Our website provider automatically collects and saves information regarding the web server, such as the browser used, operating system, referrer website, IP address, time of access etc. This data cannot be linked to specific individuals without checking other data sources and we will not analyse these data any further for as long as there is no suspicion of an attack to our website.

Cookies

Our website uses “cookies”. Cookies are small files that allow this website to save certain information about the user on their computers while they are visiting our website. Cookies help us to determine the frequency of use and the number of people using our websites, as well as to make our content comfortable and efficient for you.

Local Fonts / Custom Fonts

Our website uses custom fonts installed locally on our own server to ensure a uniform, visually appealing, and privacy-friendly presentation of our content. When you access our website, these fonts are loaded directly from our web server. No connection to third-party servers (such as Google Fonts or Adobe Typekit) is established, and no personal data (including your IP address) is transferred to external font providers. The use of locally hosted fonts is based on our legitimate interest in accordance with Art. 6 (1) (f) GDPR to ensure a secure, high-performing, and technically reliable website operation.

Cloudflare Turnstile (Spam and Bot Protection)

To protect our online forms and website infrastructure from automated bots, spam, and malicious attacks, we use the „Turnstile“ service provided by Cloudflare, Inc., 101 Townsend St., San Francisco, CA 94107, USA („Cloudflare“). Turnstile is a non-intrusive, privacy-friendly CAPTCHA alternative that verifies whether a human or an automated script is interacting with our website.

During this verification process, certain technical data (such as your IP address, browser characteristics, device telemetry, and user behavior patterns) is processed and transmitted to Cloudflare. This evaluation runs entirely in the background. Cloudflare does not use persistent cookies for this purpose and does not harvest or store personal data for advertising or profiling purposes.

The legal basis for this processing is our legitimate interest pursuant to Art. 6 (1) (f) GDPR to secure our website, prevent fraudulent activities, and protect our contact forms from abuse.

For cases where personal data is transferred to the USA, Cloudflare relies on the EU-U.S. Data Privacy Framework and has additionally integrated the EU Standard Contractual Clauses (SCCs) into its Data Processing Addendum (DPA) to guarantee an adequate level of data protection. Google Maps

Our website uses Google Maps to display map information. Data is collected when you use the map functions. The activation of location tracking or manual input of your address is voluntary (Art 6(1)(a) GDPR).

Social Plug-ins

Social media buttons are integrated in a two-click process. Data is only sent to the respective provider when you click on the button (Art 6(1)(a) GDPR).

 

4.2 Processing of data of customers and potential interested parties of ROXCEL Printing

The processing of your data primarily takes place for the initiation, maintenance, performance and settlement of our contracts concerning goods and services (Art. 6(1)(b) GDPR) or for the fulfilment of our legal obligations (Art. 6(1)(c) GDPR).

You need to provide your data to enable us to properly conclude and settle our contract with you. If your personal data are not provided, this means that we cannot enter into a contractual relationship with you.

It is in ROXCEL Printing’s interests to inform customers with an existing contractual relationship, as well as potential customers and interested parties, about the further development of our own products and services and about market-specific topics on a regular basis.

4.3 Processing of data of suppliers and business partners of ROXCEL Printing

The processing of your data primarily takes place for the initiation, maintenance, performance and settlement of our contracts concerning goods and services (Art. 6(1)(b) GDPR) or for the fulfilment of our legal obligations (Art. 6(1)(c) GDPR).

4.4 Processing of personal data of applicants

We process your personal data for the initiation and performance of precontractual measures (employment contract, Art. 6(1)(b) GDPR), based upon your express consent (Art. 6(1)(a) GDPR) if we wish to continue to keep you in our records as an applicant, or in order to fulfil our legal obligations (registration as employee with social insurance providers, Art. 6(1)(c) GDPR).

4.5 Visitors to our Vienna office

If you visit our Vienna office, we process your data in connection with the issuance of a visitor badge. The processing serves our legitimate interest, i.e. to control and manage visitors in the course of our domiciliary right (Art. 6(1)(f) GDPR).

The business premises at Thurngasse 10, 1090 Vienna are under video surveillance. Cameras cover the internal area in front of the entrance door, the garage gate, and the garage area on basement levels 1 and 2. Publicly accessible areas in front of the premises (e.g. the pavement) are not recorded. No audio is recorded.

ROXCEL Immobilien GmbH is responsible for video surveillance in terms of data protection legislation. Access to live footage is limited to reception staff of ROXCEL Printing. Stored footage may be accessed and analysed within 72 hours only under predefined circumstances. Data is erased after 72 hours unless required for legal proceedings.

5. Collection of personal data from other sources

We may obtain data from other sources such as public registers, internet, justice authorities, or credit agencies. Data is limited to contact details, professional role, allocation to a company, and creditworthiness checks if required.

6. Data retention

• Contracts and tax documents: 7 years (longer if required)
• Applicants not hired: 7 months (unless consent to retain)
• Customers/interested parties: 3 years after last contact
• Visitor data: 30 days
• Video surveillance: 72 hours (longer if needed for proceedings)

7. Your rights

You have the right to request information about your data (Art. 15 GDPR), rectification (Art. 16 GDPR), erasure (Art. 17 GDPR), restriction of processing (Art. 18 GDPR), and data portability (Art. 20 GDPR). You may object to processing based on legitimate interests (Art. 21 GDPR).

If you believe we process your data unlawfully, you may lodge a complaint with the Austrian Data Protection Authority (Wickenburggasse 8, 1080 Vienna, dsb@dsb.gv.at) or another supervisory authority in the EU.
